Privacy Statement Gr8 Hotels
Gr8 Hotels is a Dutch hotel chain with comfortable, three-star facilities and spacious, cosy rooms at a great price. Gr8 Hotels are highly accessible and offer a wonderful stay for guests who are travelling on business or for pleasure, or who want a relaxing weekend.
Gr8 Hotels will treat all your details confidentially. Your personal details are dealt with as carefully as possible and protected. Third parties are only provided with your personal details if this is necessary for providing services under a commissioning agreement and with your consent or on the basis of a statutory obligation.
Gr8 Hotels group obtains personal details because you provide Gr8 Hotels with them, for example via the website, by e-mail or by telephone. What is more, Gr8 Hotels may obtain your personal details through third parties when they provide services.
Please provide the following details:
Booking/private reservation*: Name, address, e-mail address, telephone number.
Booking/company reservation*: Company name, contact name, address details, e-mail address, telephone number, Chamber of Commerce number and VAT number.
Supplier*: Company name, contact name, address details, e-mail address, telephone number, Chamber of Commerce number and VAT number.
* You will be asked for proof of identity when checking in for identification purposes. We do not store these details, we only process the type of proof of identity used (passport/ID card/driving licence).
Gr8 Hotels processes personal details to implement an agreement concluded with you or to be able to fulfil a statutory obligation. If personal details are processed on the basis of consent, they will be explicitly requested.
Gr8 Hotels processes your personal details, including for the following purposes:
- carrying out an assignment/fulfilling an agreement;
- making and maintaining contact;
- providing good and efficient services;
- managing the customer base;
- fulfilling statutory obligations;
Provision for third parties
Gr8 Hotels may use the services of third parties for the purposes outlined above. Personal details are sent to third parties for this purpose, but only if this is necessary to carry out the assignment. These third parties may only use your personal details for the aforementioned purposes and only for the assignment we have sent them. A processor agreement is always concluded with third parties who process personal details.
Your personal details may also be sent to third parties if Gr8 Hotels has to fulfil a statutory obligation. Gr8 Hotels will not send your details to third parties for commercial purposes.
Storing personal details
Gr8 Hotels will not process your personal details for longer than necessary for the purposes they have specified in this privacy statement. This means that your personal details are stored for as long as they are needed to achieve the objectives in question. Under the statutory retention obligation, Gr8 Hotels stores your personal details for seven years (fiscal data retention obligation).
If you send Gr8 Hotels a request, Gr8 Hotels will store your details for four weeks if no discussion/employment follows. Gr8 Hotels may store your details for one year upon request for any new vacancy/other position. You will need to give your explicit consent for this.
Protecting personal details
Gr8 Hotels believes it is important that your personal details are stored against loss or unauthorised access to your personal details. Gr8 Hotels has therefore taken appropriate technical and organisational steps to do this, including:
Technical security arrangements
- Up-to-date virus scan
- Use of USB sticks is not permitted
- No access to customers’ personal details through staff telephone
- Unique login code and password (is regularly adjusted)
- No unprotected external hard drive
- No unsecured back-ups
- No documents stored on private laptop/tablet
Organisational security arrangements (e.g. in staff handbook)
- Clean desk policy
- Laptop/tablet not left behind unmanned and unlocked
- Laptop/tablet never left behind in the car
- Staff privacy screens
- Documents properly disposed of
Gr8 Hotels staff only have access to programs on computers and parts of programs in which they have obtained a specific task. Tasks are linked to login data which staff can use to access details only if they need them to carry out a task.
The social media buttons are included on the website so that pages can be shared via the social media networks LinkedIn, Twitter, YouTube and Facebook. If you click on these buttons, your personal details are processed by the relevant social media network. You have the right to ask Gr8 Hotels to examine your personal details. On receipt of your request, you will receive a summary of your personal details within four weeks. If there are any inaccuracies, you can ask for your details to be updated, supplemented, deleted or blocked.

To prevent any abuse of the aforementioned rights, please identify yourself when submitting your request. You should enclose valid proof of identity with your request. Do not forget to make your CSN (Citizen’s Service Number) and your passport photo unreadable on the copy. Your can, for example, use the ‘CopyID’ app to do this.
If you have a complaint about the processing of your personal details by Gr8 Hotels, please let us know. If you have problems, you have the right to send a complaint to the oversight authority for privacy, the Dutch Data Protection Authority.
