Gr8 Hotels is a Dutch hotel chain with comfortable 3-star facilities and spacious, warmly decorated rooms for a great price. Gr8 Hotels are easily accessible and offer a great stay to guests who travel for business, are on the road or want to relax for a weekend.



Personal data

Gr8 Hotels will treat your data confidentially. Your personal data will be treated and secured as carefully as possible. Your personal data will only be provided to third parties if this is necessary on the basis of a contract, for the provision of services, with your permission or on the basis of a legal obligation.


Gr8 Hotels obtains personal data because you provide your personal data to Gr8 Hotels, for example via the website, by e-mail or by telephone. In addition, Gr8 Hotels can obtain your personal data via third parties in the context of the provision of services.



We request the following information from you:


Booking/reservation private individual*: Name, address details, e-mail address, telephone number.


Booking/reservation company*: Company name, contact person name, address details, email address, telephone number, Chamber of Commerce number and VAT number.


Supplier*: Company name, contact person name, address details, email address, telephone number, Chamber of Commerce number and VAT number.


* When checking in, you will be asked for your ID to identify you. We do not store this data, we only process the type of ID (passport/ID card/driver's license) that was used.



Foundations

Gr8 Hotels processes personal data to execute an agreement concluded with you, or to be able to comply with a legal obligation. If personal data is processed on the basis of consent, this will be explicitly requested.



Purposes

Gr8 Hotels processes your personal data for the following purposes, among others:

- carrying out an assignment/fulfilling an agreement;

- recording and maintaining contact;

- good and efficient service;

- customer base management;

- invoicing;

- compliance with legal obligations;



Provision to third parties

Gr8 Hotels may use third-party services for the aforementioned purposes. In this context, personal data is provided to third parties, but only if this is necessary for the execution of the assignment. These third parties may only process your personal data on the basis of the aforementioned purposes and only in the context of the assignment we have given them. A processing agreement is always concluded with third parties who process personal data.


Your personal data may also be provided to third parties when Gr8 Hotels must comply with a legal obligation. Gr8 Hotels will not provide your data to third parties for commercial purposes.



Storing personal data

Gr8 Hotels will not process your personal data longer than necessary for the purposes stated in this privacy statement. This means that your personal data will be stored for as long as they are necessary to achieve the relevant purposes. In the context of the legal retention obligation, Gr8 Hotels will store your personal data for seven years (fiscal retention obligation).


If you send Gr8 Hotels an application, Gr8 Hotels will store your data for four weeks if no interview/employment follows. Upon request, Gr8 Hotels can store your data for a possible new vacancy/other position for one year. You must give explicit permission for this.



Security of personal data

Gr8 Hotels considers it important that your personal data is protected against loss or unauthorized access of your personal data. Therefore, Gr8 Hotels has taken appropriate technical and organizational security measures, including:

- Up-to-date virusscan

- Use of USB sticks is not permitted

- No access to customer personal data via employee telephone

- Unique login code and password (changed regularly)

- No unsecured external hard drives

- No unsecured backups

- Do not store documents on private laptop/tablet


- Organizational security measures (e.g. in employee handbook)

- Clean desk policy

- Do not leave your laptop/tablet unattended and unlocked

- Never leave your laptop/tablet in the car

- Privacy screens employees

- Destroy documents correctly


Gr8 Hotels employees only have access to programs on computers and parts of programs in which they have been assigned a specific task. Tasks are linked to login data, so that employees can only access the data they need to perform a task.



Social media

The social media buttons on the website are included to share pages via the social media networks Linkedin, Twitter, Youtube and Facebook. If you click on these buttons, your personal data will be processed by the relevant social media network. Your rights

You have the right to request Gr8 Hotels to inspect your personal data. After receiving your request, you will receive an overview of your personal data within four weeks. If this shows any inaccuracies, you can request to adjust, supplement, delete or shield your data.

If you have a complaint about the processing of your personal data by Gr8 Hotels, please let us know. If you cannot reach an agreement with us, you have the right to file a complaint with the privacy supervisor, the Dutch Data Protection Authority.
